Terms of service

These terms set the practical boundaries between Kipas and each business using the service.

Who these terms are with

Kipas is operated by OnlyKipas Sdn Bhd (business registration 1582122-V).

By accepting a Kipas workspace, the business agrees to these terms and the Privacy Notice.

The service

Kipas provides operations software for bookings, public group sessions, jobs, point of sale records, attendance, a customer portal, customer email and messaging, e-invoice record fields, reports, and related workflows. The workspace adapts its language and visible tools to the business type the owner selects. During onboarding and early access, the service is provided on an as-is basis while we configure the workspace with the business and continue improving it.

We may change features to improve security, reliability, or business workflows. We will give reasonable notice of changes that materially affect normal use.

No payment processing

Kipas records how a sale was paid, but it does not move, hold, settle, or refund money. The business remains responsible for its cash, card terminal, bank, e-wallet, refunds, taxes, and reconciliation with payment providers.

The business owns its data

The business keeps ownership of the business, team, customer, booking, and sales data it enters or that its customers submit through its public booking page and portal. The business gives Kipas permission to process that data only to run, secure, support, and improve the service and to meet legal obligations.

The business is responsible for having a lawful reason to collect and use customer and team data, for the consent behind any marketing-class email it switches on, and for giving any notices required by Malaysian law, even where Kipas operates the capture surface.

Accounts and acceptable use

  • Keep owner, manager, staff, and kiosk credentials private and assign only the access each person needs.
  • Enter accurate records and review sensitive actions such as refunds, voids, price overrides, attendance corrections, published group sessions, and the customer messages and email settings the business turns on.
  • Do not probe another business workspace, bypass access controls, submit abusive public requests, upload unlawful content, or interfere with the service.
  • Tell us promptly about a suspected account compromise, data leak, or material error.

Messages to customers

WhatsApp. Kipas prepares WhatsApp links for a business user to review and open. It does not send them for the business and does not guarantee that any message reaches a customer. WhatsApp and other third-party services remain subject to their own terms.

Email.When the business switches customer email on, Kipas sends those emails automatically on the business's behalf and in its name: reminders, booking outcomes, receipts, purchase summaries, job-ready alerts, and, only to customers who ticked consent, birthday or offer messages. The business is responsible for that consent and for the wording it edits. Each workspace has a monthly sending allowance, and Kipas may pause a workspace's sending to protect delivery for everyone. Delivery is never guaranteed.

Bookings, group sessions, and the customer portal

Members of the public can send booking requests, and can ask for a place in a group session the business has published. A request is a request: nothing enters the calendar until the business accepts it, or until the business has chosen automatic acceptance. The business is responsible for the places and capacity it publishes.

A customer portal link lets a customer view their own records and ask to cancel or reschedule. A portal request changes nothing by itself; the appointment changes only when the business acts on it.

Jobs and customer property

For businesses that receive customer items for service or repair, Kipas records the job and its status. It is a record only. The business alone is responsible for the customer's physical property in its custody, including loss or damage, and for any terms it agrees with that customer.

Tax and e-invoice records

Kipas stores the tax and e-invoice details the business enters, such as registration numbers and buyer identifiers, and prints the lines the business enables. The business is responsible for the accuracy of those details and for its own obligations to LHDN and other authorities.

Public demo workspaces

The public demo workspaces contain fictional data, are shared with other visitors, and reset on a daily schedule. Do not enter real customer or personal information into a demo. Nothing done in a demo creates a Kipas account or any obligation on either side.

Attribution

Customer-facing pages carry a small "Powered by Kipas" line. Kipas sets one platform-wide policy for the Powered by Kipas line in customer emails, prepared WhatsApp messages, and receipt documents: full credit, short credit, or no credit line. The business's own name and branding stay first on every one of those surfaces.

Availability and responsibility

We work to keep Kipas available and data protected, but internet, hosting, device, and third-party failures can occur. The business should maintain practical operating fallbacks and verify important financial or attendance records. Nothing in these terms excludes liability that Malaysian law does not allow us to exclude.

Leaving Kipas

Either side may end the service by reasonable written notice, or immediately for serious misuse or security risk. We will provide a reasonable opportunity to export available operational data, then delete or retain records according to the Privacy Notice and applicable law.
