Package and membership tracking, without the paper card.

Most salons in Malaysia still keep prepaid packages on a card in a drawer. The card gets lost, the balance gets argued over, the expiry is a surprise, and someone adjusts a number by hand to make peace. Kipas keeps every balance on the customer record and lets it move only through real transactions. This page explains how that works at the counter.

Packages: prepaid credit that spends itself

A package is money paid up front. In Kipas the customer holds a credit balance on their profile, and staff sell it from the counter: select the registered customer, open Packages, choose the package, take payment. The payment is recorded like any other sale, so the money shows up in tender totals and in closing.

Spending it is one tap. On a service card the Use credit button appears whenever the customer has a balance, and tapping it pays for that service from the balance. Credit caps at the service amount; anything left over can be settled with cash, card, or e-wallet in the same sale.

  • Expiry is optional per package, and expired credit cannot be spent.
  • The Follow-ups lane in Messages lists credit expiring within 30 days, so staff can remind the customer to use it.
  • If a sale that used credit is voided, the credit returns to the customer automatically. A package that has already been used cannot be voided.

Memberships: member prices and benefits that apply themselves

A membership gives member prices on eligible services, applied automatically at the counter with a Member badge. Nobody calculates a discount. Some memberships also carry a visit allowance for specific services, redeemed with one button and tracked down to the last visit, and a membership can turn the amount paid into spendable credit when the owner enables that option.

The rule everyone asks about: the buyer of the membership gets member prices, visit allowances, and any spendable credit. A shared member on the same membership, such as family, gets member prices only. If a button does not appear for a shared member, the system is working as designed.

  • Coverage limits are firm. A membership that covers three people covers exactly three, even from two devices at once.
  • When credit reaches RM 0, the membership either stays active until expiry or ends, as the owner configured, and the receipt says which rule applied.
  • Staff can be prompted to offer a new membership after the last credit is spent. It never adds or charges one automatically.

Why staff can never adjust a balance by hand

Credit balances and visit counts only move through sales, voids, refunds, and owner actions, and each of those is written to the Audit Log with who, when, and why. That is what keeps prepaid money honest. When something looks wrong, the answer is in the log, not in a corrected number.

What the customer sees

After a receipt changes a package or membership balance, Kipas prepares a WhatsApp update the staff member reviews and sends from the business number. If customer emails are on, an Email summary sends what they bought and when it expires. Nothing is sent without a person pressing send.
