Daily closing and cash variance, explained for owners.
A salon that closes every night knows where its money is. A salon that does not is guessing, and the guessing shows up months later as a report nobody trusts. Kipas makes closing a ten-minute routine per branch per day, with one number that matters at the end: the difference between the cash you counted and the cash the day should have produced.
What the closing page shows
For the selected date and branch, the page lays out the day before you count anything.
- Total revenue and the number of transactions.
- Tenders: how much came in by Cash, Card, and E-Wallet.
- Refunds by tender, the money returned that day.
- Package credit used, shown for information: prepaid value spent, not new money.
- Split receipts, also for information: their parts are already inside the tenders.
Closing, step by step
The routine is the same every night.
- Count the cash in the drawer.
- Enter the counted cash. If the drawer took no cash that day, one tap fills RM0.00 and opens the confirm step.
- Review the summary. It notes voided receipts excluded, credit used, and any unallocated amount.
- Close the day. Kipas records who closed and the cash difference.
If a sale, void, or refund changes while you are counting, Kipas stops the close and asks for a fresh summary rather than locking a day that has already moved.
The three warnings, translated
Cash difference means counted cash is not equal to expected cash. Small differences are normal life. Recount; if it is still off, look for a missed sale, a refund, or a void, then enter the real count and close. Honesty beats tidiness.
Unallocated means a mixed receipt has a missing or invalid tender split, so part of it is not assigned to cash, card, or e-wallet. Open the receipt and correct the split if you can.
Voided excluded is reassurance, not a problem: cancelled sales were left out of the totals.
Reopening honestly
Closed too early, or found a mistake the next morning? Open that date, reopen, make the correction as a void or refund, and close again. The day re-locks with the correction inside, and every step is in the Audit Log with the person and the reason.
Why the rest of the numbers depend on it
Closing is what makes tomorrow's comparison cards, the commission report, and the Monday digest mean something. The weekly digest highlights voids, refunds, failed reminder attempts, and booking requests that expired without an answer, so exceptions reach the owner without a second report from the counter.
